Month-end and year-end close in Operent

Review and close each month, see what blocks a close and what only needs a reason, close the fiscal year and issue the official reports from the snapshot.

Closing a period is like filing a month's paperwork: you check what happened, clear up what's still loose, and record a snapshot of that period that won't change again.

In Operent, this happens in two stages. First you close the months, one at a time. Then, once every month in the fiscal year is closed, you run the year-end close: Operent works out the result for the year and unlocks the official reports.

Three actions that look alike

  1. Before closing Recognize revenue

    Puts revenue in the right accrual month: the month the stay actually happened.

  2. Every month Close the month

    Saves the period's accounting snapshot and locks the entries for that month.

    Doesn't close the year.
  3. Once a year Close the fiscal year

    Brings the closed months together, works out the profit or loss and moves the result to equity.

    Unlocks the official reports.

Step 1 · Before your first close

Open Financial › Month-end close. Under Global Fiscal Settings, check the month your fiscal year starts. Do this first: after the first monthly close, this setting is locked.

In the Fiscal Year selector, pick the year. The table shows each month's status, its pending items, who closed it and the closing date.

In Progress
The current month. It can't be closed yet.
Open
A month that hasn't started yet. It accepts entries as usual.
Pending
The month has ended and is waiting to be closed. You can still change entries until you close it.
Blocked
Something is stopping the close right now: an earlier month that isn't closed, or revenue not yet recognized.
Closed
The period is done. Entries for that month won't change again.

The revenue ✓ mark only means that month's revenue has been recognized. It doesn't mean the month is closed. Above the year row, the cards sum things up: the current period, how many months need attention, how many are already closed, and the Next Action, with the month to review now.

Step 2 · Review the month

Start with the oldest month that isn't closed yet. Closing follows the sequence: while August is still open, September shows as Blocked, with the message “Close August 2026 first to continue the closing sequence.” On that month's row, click Review Closing.

The review sorts what it finds into three levels:

Blocker Won't close until it's fixed.
  • Revenue to recognize, or recognition that's out of date
  • A booking without check-in or checkout
  • An open refund or security deposit return
Action Required Closes, but only with a reason.
  • An amount still to collect on a booking
  • An expense not yet paid, or income not yet received
  • An open card statement
  • A dispute with financial impact
Informational Doesn't block or need a reason.
  • An owner payout still pending
  • An overpaid booking

Fix the blockers. The most common ones are revenue recognition, with the Recognize Pending Revenue button, and a check-in or checkout that was never recorded on the booking.

Step 3 · Confirm the close

  1. Read the review to the end. If there are Action Required items, write down the reason.
  2. Click Confirm Closing. On the Confirm Final Closing screen, Operent reminds you what's about to happen. Confirm.
  3. The month changes to Closed, with your name and the date. If you gave a reason, it's marked as closed with exceptions, and the reason is saved.

From then on, no entry in that month can be changed, and no new transaction can be posted to it. That's on purpose: the statement you sent the owner and the month's result stop changing.

What if you need to fix something? An entry in a closed month can be reversed as a post-closing adjustment. The original month stays as it was, and the reversal goes into the next open period, linked to the original entry. There's a record of what happened and how it was fixed.

Step 4 · Track the year with the management reports

The month-end close doesn't issue an official PDF. To see how the year is going, use Reports › Management Income Statement, which shows the result on an accrual basis, and Reports › Management Results, which shows realized revenue, expenses and result. They're management views, not official statements. For owners, the route is the owner statement, which now shows the closing date.

Step 5 · Close the fiscal year

While months are still open, Financial › Month-end close says the year-end close isn't available yet and counts how many periods are closed; in the Year-End Close section, the year shows as Awaiting monthly closes. Once they're all closed, the notice changes to say the fiscal year is ready to close. If anything is still missing, Operent lists it: a missing snapshot, a trial balance that doesn't balance, no destination equity account set up, or no open period to post the entry to.

  1. Click Prepare year-end close.
  2. Review the preview: revenue, expenses, result for the year, destination equity account, periods included and the period that will receive the closing entry (the first open period after the end of the fiscal year).
  3. Open View trial balance (base + deltas) and check the accounts and totals. Read the checks and any late adjustments included.
  4. Add a note if you like. Tick the box confirming you've reviewed the preview and understand the close is final.
  5. Click Close fiscal year.

If any figure changes while you're reviewing, Operent asks you to Review new preview before you confirm. That way you never close on numbers that differ from the ones you saw.

When you confirm, Operent:

  • saves the annual snapshot and records who closed it and when;
  • moves the year's result to the destination equity account, with an entry in the first open period after the fiscal year;
  • locks the fiscal year, keeping all the original revenue and expenses in the history.

There's no “undo.” A correction after the close is an exceptional process, with a reversal and a new version of the snapshot. So it's worth going through the preview with your accountant before you confirm.

To look back at a closed fiscal year, go to Financial › Month-end close, pick the year and click View close. The official snapshot opens read-only, with the Summary, Trial balance, Entries and Versions tabs. Under Entries you can see the close from the inside: every revenue and expense account is zeroed out, with an accrual date in December of that fiscal year and posted in the first open period after it.

Step 6 · Issue the official reports

In Reports › Official Reports, pick the closed fiscal year and the report. The Immutable source notice sums up the rule: the document doesn't read the live entries, it comes from the snapshot saved at the close.

  • Did we make a profit? Annual Income Statement The year's revenue, minus costs and expenses, down to the result. In the example: a profit of $168,278.17.
  • Do the entries balance? Annual Trial Balance Every account with its debit and credit balance before the close. Both sides must add up to the same total. In the example: $201,577.65 on each side.
  • Where did the company end the year? Balance Sheet What the company owns (assets), what it owes (liabilities) and what belongs to the owners (equity) on the last day of the fiscal year. In the example: $170,423.15 in the bank, $2,144.98 in deferred revenue and $168,278.17 of result.

Click Issue official PDF. Then you can Download PDF or Issue again. Because the reports come from the snapshot, a new issue shows the same numbers, even if new entries are posted later. Each document records the fiscal year, the closure version, the currency, an identifier, who issued it and when. The Issuance history keeps every one.

Quick checklist

Before closing a month

  • Has the month ended, and is the previous one closed?
  • Has the month's revenue been recognized, and is it up to date?
  • Are check-in and checkout recorded for the month's bookings?
  • Did I read the review and give a reason for the items that need one?

Before closing the fiscal year

  • Are all the months in the fiscal year closed?
  • Does the trial balance balance on debits and credits?
  • Did I check revenue, expenses, result and the destination account?
  • Do I know which period the closing entry will go into?
  • Has the accountant reviewed the preview?

Common questions

Can I reopen a closed month?

No. The close is final. To fix an entry in that month, reverse it as a post-closing adjustment: the reversal goes into the next open period and the closed month stays as it was.

I have expenses I haven't paid yet. Can I close the month?

Yes. Expenses and income not yet paid or received need a reason, but they don't block the close. They stay open in your finances until you record the payment.

Who can close a period?

Only company admins can close accounting periods.

What does “Fiscal window not verified” mean?

It shows up when Operent has no record of the fiscal calendar for an older fiscal year. Before that year can be closed, someone with permission confirms the calendar under Confirm fiscal calendar, with a document that proves it, such as your accountant's report, and a reason. The confirmation doesn't change any entries and can't be undone.

Why does the balance sheet show deferred revenue if the bookings have already ended?

Because the balance sheet is a snapshot of the last day of the fiscal year. On December 31, the bookings that ran over New Year still had nights in January: the company had been paid but still owed the stay. That part shows up as deferred revenue. When the nights happen, Operent moves the amount into nightly-rate revenue. Even if those bookings are checked out today, that year's snapshot still shows the obligation that existed on that date.

Do the official reports replace my accountant?

No. They're documents you can reproduce at any time from the fiscal year's snapshot. How they fit into your company's accounting and tax obligations is a conversation to have with your accountant.

When each month is closed on time, the year-end close becomes just the last check on work that was already in order.
